ACCOMMODATION

A credit card is required to book your accommodation and the hotel will charge the full stay in EUR approximately 3 to 4 weeks prior to arrival. Credit card must be valid until end of stay. If you wish to change the credit card used to book this reservation, you may do so no later than XXX. Rates are subject to VAT and Tourist/City Tax charged per person/per night. 

Cancellations must be made no later than XXX to avoid the credit card being charged the full stay. Cancellations or shortening length of stay after   XXX   will result in all nights to be charged to the credit card used to book the reservation.

Reservations may be changed or cancelled without penalty by XXX. If you wish to change the credit card used to book this reservation, you may do so no later than XXX. 

Cancellations or reductions in room nights must be made no later than XXX in order to avoid a penalty charge equal to the full stay (excluding Tourist/City Tax). Cancellations or reductions in room nights after XXX will result in all room nights being charged to the credit card on file (excluding Tourist/City Tax). No refunds will be issued for No Shows. 

The credit card provided must have an expiration date on or after XXX. 
 
Important: If you have booked accommodation using a credit card that is not in the guest's name, you will be required to complete the hotel's 3rd Party Billing Authorization Form. Please email WCLC2022-housing at icsevents.com and the form will be sent to you. The completed form and supporting documents must be received by the Housing Secretariat within 72 hours of making the reservation or the reservation may be cancelled

If you have a group of 10 or more individuals, you may qualify for group registration. Policies for group registration vary according to your type of entity: 

• Institutions whose mission and function are to provide clinical or supportive services directly to patients or the public, or to educate health care professionals, may register employees, students, and others under group registration. 
• Commercial entities, defined as those whose primary business is producing, marketing, selling, re-selling, or distributing healthcare products used by or on patients, may register their employees.

It is not unusual that misleading websites are set up by accommodation piracy companies. Please note that the official IASLC 2022 World Conference on Lung Cancer website is wclc2022.iaslc.org. 

We are also aware that there are certain companies calling delegates saying that there are issues with the hotel reservation they have made for the conference and then requesting credit card information. In some situations they are saying that they can get lower rates and need their original confirmation email in order to make the changes. 

Be aware that they do not have room blocks at the conference hotel. Please do not provide them with any details of your reservation and do not give them your credit card details. If you have been approached, please email us at wclc2022-housing at icsevents.com immediately with details of the situation. 

Do NOT provide them with your credit card/personal information/ confirmation emails. 

These individuals are identifying themselves in different manners, which are all false. These include, but are not limited to: 

• Representatives from the Official Housing Bureau 
• Representatives from the Reservations Department of companies called the Exhibitors Housing Services; 

• Exhibitors Housing Management; The Convention Housing Services; Trade Show Housing; Global Travel Partners or Exhibitors Management 
• Staff from our preferred conference hotels 

The IASLC WCLC 2022 Conference Secretariat does not call delegates to book accommodation. The online registration & housing form is the official way to reserve a room.
